Asset Management Overview

Creating and tracking assets, categories, locations, check-out/check-in, and linking to tickets and RMM devices.

What Is Asset Management?

The Asset Management module is your organisation's inventory of physical and digital assets — laptops, servers, network equipment, licences, furniture, vehicles, and anything else you need to track. Assets are linked to customers, employees, and RMM devices.

Asset Categories

Assets are organised into categories (e.g. "Laptops", "Servers", "Network Equipment"). Each category can have:

  • A tag prefix — auto-generated asset tags (e.g. LAPTOP-0001, LAPTOP-0002).
  • An icon for visual identification in lists.

To manage categories: Admin → Assets → Categories.

Asset Locations

Locations represent where assets physically live — a site, a stockroom, a customer address. Create locations at Admin → Assets → Locations.

Creating an Asset

  1. Go to Assets → Assets.
  2. Click + New Asset.
  3. Fill in:
    • Name (required) — e.g. "Dell Latitude 7430 — John Smith".
    • Category — select from your configured categories.
    • Serial Number — the manufacturer serial.
    • Asset Tag — auto-generated if the category has a prefix; or enter manually.
    • Manufacturer / Model — for warranty lookups.
    • Purchase Date / Warranty End — shown as an alert when warranty nears expiry.
    • Cost — purchase cost in your currency.
    • Status — In Use, In Stock, Repair, Retired, Lost.
    • Location — select a defined location.
    • Customer — the customer this asset belongs to.
    • Assigned Employee — the individual using the asset.
    • Linked RMM Device — tie to a monitored RMM device so hardware metrics appear here.
  4. Click Save.

Asset History

Every change to an asset's status, assignment, or details is logged in the History tab. Events include: CHECK_OUT, CHECK_IN, STATUS_CHANGE, NOTE, CREATED, UPDATED.

Check-Out / Check-In

To assign an asset to an employee:

  1. Open the asset.
  2. Click Check Out.
  3. Select the employee and optionally set an expected return date.
  4. Add a note (e.g. "Issued for remote working").

To return it to stock, click Check In.

Linking Assets to Tickets

When you open a ticket related to a specific piece of hardware, link the asset from the Linked Assets panel on the ticket. This creates an explicit pin visible on both the ticket and the asset.

Warranty Expiry Alerts

The platform generates WARNING alerts in the RMM alert feed when an asset's warranty end date is within 30 days. CRITICAL alerts fire when it expires.
